The diagram below shows the general structure of the database and the types of records available for a student. Student Records contain basic information about a child. The Special Ed records contain education and special education data. EEIF Records contain data found in the Educational Enrollment Information Form. Image files contain documents in graphics format. These may be PDF documents, GIF or JPEG images. Any of these types of data may be viewed, entered, uploaded, or downloaded.

Using the Foster Care Database

Database Web Site Operation:

  1. Use the links and buttons on the web pages. DO NOT USE THE BROWSER BUTTONS.

    Use of the browser buttons may cause you to be exited from the database.
  2. A "Database Timeout" feature is in place. You will be exited from the database for lack of activity if you remain on a student list screen or a data entry screen for longer than 15 minutes.

Student Data Access:

  1. A student's first and last name OR social security number is required when searching for a student.
  2. EEIF data can be viewed by Special Ed and SRS/JJA users. SRS/JJA users with "Add New/Modify Existing Data" database permissions can Add New or Modify Existing EEIF data. Special Ed users can not Add New or Modify Existing EEIF data.
  3. Special Ed data can be viewed by Special Ed and SRS/JJA users. Special Ed users with "Add New/Modify Existing Data" database permissions can Add New or Modify Existing Special Ed data. SRS/JJA users can not Add New or Modify Existing Special Ed data.
  4. Image files can be created (uploaded) and viewed by both Special Ed and SRS/JJA users.
  5. All data related to a student can be viewed by Special Ed and SRS/JJA users.
  6. Special Ed data can be uploaded by a Special Ed user with "Add New/Modify Existing" database permissions. Special Ed data can be downloaded by a Special Ed user regardless of their database permissions.
